Types of Registers to be Maintained

Each creche must maintain the following registers regularly and accurately:

Type of Register Purpose Key Information Recorded
Attendance Register To track daily attendance of children and caregivers. Daily attendance of children and caregiver, remarks for absentees over 2 days.
Meal Record (within Attendance Register) To monitor daily and monthly meal distribution. Total attendance and meal count after every meal.
Cashbook To record financial transactions and daily expenditures. (petty cash) Regular cashbook entries with receipts and payments.
Stock Register To track inventory and material usage. Record inflow/outflow of food materials, play items, and consumables.
Visitor’s Register To record all visitors for transparency and safety. Name, purpose, date, and remarks of each visitor.
Child Card To document individual child development details. Child’s growth, health, attendance, milestones, and remarks.
Egg Register (part of attendance register) To record daily usage, spoilage, and vendor replacement of eggs. Number received, used, spoiled, and pending replacement.

Responsibilities of the Caregiver

The caregiver plays a central role in ensuring data accuracy and upkeep.

  • She should update all registers daily, without waiting for supervision visits.
  • She must verify every entry before signing.
  • She should store registers safely in a spot that is easy to access yet protected from water, dust, and children’s reach.
  • She should communicate supply needs (like eggs or rations) two days in advance to the supervisor to avoid shortages.
  • During supervisor visits, the caregiver must present updated registers for review.
